Driving Team Productivity with Asana

A remote global team was struggling with missed deadlines, siloed work, and inconsistent collaboration—despite having access to a project management tool. I was brought in to diagnose the root of the problem and design a practical, team-centered solution. 


Through targeted onboarding, strategic coaching, and behavior-focused change enablement, I helped the team embed Asana into their daily routines, leading to stronger visibility, faster execution, and a noticeable shift in team culture.

Turning a Project Management Tool Into a Teamwide Performanc

The Challenge

Despite having access to Asana, the team continued to miss deadlines and struggle with collaboration. Communication breakdowns, siloed work, and lack of visibility across projects created ongoing frustration. Because the team was distributed across time zones and continents, these issues were amplified by inconsistent Asana adoption and reliance on outdated workflows.


The business leader needed a solution that would:


  • Improve team productivity
  • Establish clearer communication norms
  • Encourage accountability
  • Increase adoption of Asana as the team’s central project hub

The Opportunity

I was engaged to uncover the root causes of these performance challenges and implement a scalable solution that would drive long-term behavior change through smart tool integration, manager coaching, and team enablement.

My Approach

My goal wasn’t just to train the team on how to use Asana—it was to help them adopt it as a core part of how they worked together.


  • Discovery Interviews: I conducted in-depth interviews with managers, team leads, top performers, and individual contributors to understand workflow blockers and adoption resistance. Key issues included unfamiliarity with the tool, inconsistent usage, and attachment to legacy systems.
  • Tailored Onboarding Design: I redesigned the Asana onboarding experience around the team’s real workflows, including: custom templates aligned to key deliverables, live demos for common tasks and project scenarios, and user-level job aids with clear, actionable steps.
  • Manager Enablement: I led follow-up coaching sessions with team leads to help them incorporate Asana into existing routines (e.g., standups, check-ins). I also connected tool usage to performance expectations around ownership, tracking, and follow-through.
  • Change Reinforcement: I spotlighted quick wins and encouraged teams to share progress and successes, creating internal momentum and peer-driven adoption.

The Results

Within one quarter of implementation, the business unit saw tangible improvements in team performance and communication.

  • Improved Visibility: Teams gained a shared view of project status, priorities, and blockers—reducing misalignment.
  • Faster Execution: Tasks were completed more quickly, with better prep for meetings and deadlines.
